Each Team Member in Newlund has his own calendar subscription URL you can plug into Apple Calendar, Google Calendar, Outlook, or any other calendar app that supports an internet-hosted feed. The catch: the URL doesn't exist until you connect a User account to that Team Member record. Until you do, the field on the Team Member's Links tab is blank.
Here is how to set it up.
1. Open the Team Member
Go to **Team** in the left navigation, then click the Team Member you want to set up. For this walk-through, we're using Eddie Muldoon.
2. Check the Links field (before association)
Open the Links field on the Team Member. Before a User is associated, the field reads "Associate a User to this Resource to get the Calendar integration link" and the URL box is empty. This is the symptom most people hit when they follow the calendar instructions and find nothing to copy.
3. Associate a User
Scroll to the **Associated User** field ("Add a user association to this team member"). Pick the matching user from the dropdown. In this example, the team member Eddie Muldoon gets associated with the user account Eddie Muldoon.
Save the Team Member.
If you don't see the right user in the dropdown, the User account doesn't exist yet or needs a name to make it clear. Create or update the user record from the Users page first, then come back.
4. Copy the calendar link (after association)
Back on the Links field, the empty box is now labeled "Google Calendar Link" and filled in with the subscription URL. Click the box or the clipboard icon on the right to copy it.
The label says "Google Calendar Link," but the URL is a standard `.ics` feed. Any calendar app that supports subscribing to a calendar URL will work.
5. Subscribe in your calendar app
- Apple Calendar (macOS): File → New Calendar Subscription → paste the URL.
- Apple Calendar (iPhone/iPad): Settings → Calendar → Accounts → Add Account → Other → Add Subscribed Calendar → paste the URL.
- Google Calendar: Other calendars → + → From URL → paste the URL.
- Outlook: Add Calendar → Subscribe from web → paste the URL.
Set your preferred refresh interval. Newlund updates the feed in real time, but most calendar apps poll on a schedule (Apple Calendar defaults to once an hour; Google Calendar refreshes a few times a day).
Still not seeing events?
A few things to check if the link is there but your calendar stays empty:
- No schedules yet. The feed pulls from bookings and schedules tied to that Team Member's Resource. A Team Member with nothing on his schedule produces an empty feed, which is correct behavior.
- Calendar app hasn't refreshed. Force a manual refresh in your calendar app before assuming the feed is broken.
- Wrong User associated. The feed reflects whatever is on the schedule for the Resource you associated the User to. Make sure the right pairing is in place.
- More than one Team Member to wire up. Each Team Member has his own URL. If you have multiple guides, repeat steps 1-4 for each one.
If the URL is set up correctly, schedules exist for that Team Member, and the calendar still shows nothing after a manual refresh, contact support and include the Team Member name and the calendar app you're using.
