Workflow: How to Create a Custom Booking

Custom Bookings allow you to manually build a trip from scratch—or base it on an existing listing—giving you full control over trip details, pricing, and participants.

✅ Step 1: Open the Custom Booking Tool

1. Go to the Bookings tab from the left-hand menu.
2. Click Create New Booking.
3. Select Create Custom Booking.
4. Choose the trip date using the calendar on the left side.

🧾 Step 2: Fill In Trip Details

1. Select Group Size – Choose from preset options or enter a custom amount.
2. Set the Time Slot – Add a start and end time, and confirm the correct time zone.
3. Select Listing (Optional) – Pull in trip title, reminders, waiver settings, confirmation email settings, and address from a saved listing.
4. Add Trip Info:
   1. Booking Name – Name the trip.
   2. Unit Price – Enter the price (per person or per group).
   3. Unit of Measure – Choose between Person or Group.
   4. Total Price – This will auto-calculate based on your inputs.
5. Add a Tax Code – Use the search bar to apply the correct tax code (Tip: search ‘Guide’ and click either one of those options).
6. Optional Notes – Add any internal notes about the booking.

💡 Tip: If you’re including things like hats, rentals, or private water access, manually adjust the price to include those add-ons (e.g., if a trip is $600 and a hat is $20, enter $620).

📍 Step 3: Set the Trip Location

If a listing was not applied, manually enter:

• Street Address
• City, State, Postal Code
• Country

👥 Step 4: Assign Team Members & Assets

• Assign guides or staff in the Team Members section.
• Add any equipment or location-based assets under Resources.

📦 Step 5: Review and Continue

Before proceeding:

• Confirm that all details (pricing, time, group size, etc.) are correct.
• Click Continue.

👤 Step 6: Add Customer Information

1. Add the primary customer’s name, email, and phone number.

💳 Step 7: Payment Options

You can choose to:

Option A: Collect Payment Later

• Finalize the booking and return to collect payment from the booking card when ready.

Option B: Collect Payment Now

• Click Collect Payment to charge the customer.
